As Executive Assistant, you will work in close partnership with Source’s CEO. You help the CEO stay focused, prepared, and informed by bringing structure and thoughtfulness to their day-to-day work. A key part of your role is ensuring the CEO has the right information at the right time—through careful research, clear documentation, and well-prepared materials—so they can lead with confidence and clarity.
Job Responsibility:
Manage the CEO’s calendar, prioritizing commitments, resolving conflicts, and ensuring adequate preparation time
Coordinate travel for CEO attendance at conferences, executive meetings, company offsites, and personal travel, handling all logistics such as flights, accommodations, and transportation
Collaborate closely with the Operations team to support additional needs, planning, coordination, or logistics for executive or board meetings
Conduct research and gather relevant information well in advance of key meetings to ensure well-structured agendas, with all supporting materials and links organized and accessible, providing the CEO with timely context to maximize meeting effectiveness
Prepare, review, and refine documentation to support efficiency in your 1:1 meetings with the CEO
including calendaring, meeting prep, travel, and personal matters, ensuring accuracy, clarity, and readiness
Handle confidential information with the utmost discretion, including sensitive business matters and personal details
Serve as a point of contact between the CEO and internal and external stakeholders, facilitating clear and professional communication
Process expenses, invoices, and other administrative items related to the CEO’s work
Provide personal assistant support (approximately 20%), including personal appointment scheduling, family calendar coordination, and miscellaneous errands
Coordinate with team members as needed to ensure smooth execution of plans and priorities
Identify opportunities to improve organization, scheduling, and administrative processes
Respond calmly and effectively to changing priorities, urgent requests, and unexpected issues
Represent the CEO and the company professionally in all interactions
Maintain strong initiative, organization, follow-through, and attention to detail across all responsibilities
Requirements:
At least five years of experience as an Executive Assistant supporting a senior leader in a rapidly changing environment
Comfort using AI tools to support daily work, such as assisting with scheduling, managing communications, organizing information, or improving efficiency and accuracy
Demonstrated ability to anticipate needs, think ahead, and approach work with sound judgment and care
Strong research and information-gathering skills, with the ability to synthesize details clearly and efficiently
Excellent written communication skills, including experience preparing, reviewing, and refining materials and correspondence to a high standard
Exceptional organizational skills and the ability to manage multiple priorities with accuracy and follow-through
Comfort handling both professional and personal matters with discretion
Proven ability to manage sensitive and confidential information responsibly
Strong interpersonal skills and the ability to communicate clearly and professionally with a wide range of contacts
Confidence working independently, taking ownership of responsibilities, and following through without close supervision
Ability to stay composed, flexible, and effective when priorities shift or urgent needs arise
Proficiency with Google Workspace and other standard productivity software tools
