As the Executive Assistant to the CEO, you will be the backbone of daily operations—managing complex scheduling, coordinating high-level meetings, and ensuring nothing falls through the cracks. The CEO moves quickly and is deeply involved in both internal leadership and external community work, so your ability to anticipate needs and stay one step ahead will be key to success.
Job Responsibility:
Manage a high-volume, ever-changing calendar with precision and foresight
Coordinate complex travel arrangements, itineraries, and expense reporting
Prepare and organize materials for executive and board-level meetings, including presentations and reports
Attend meetings and take detailed, accurate notes
distribute clear and timely meeting minutes
Draft memos, correspondence, and internal communications on behalf of the CEO
Support Chief of Staff meetings (approximately 4 per week) and other senior leadership meetings
Maintain strict confidentiality while handling sensitive information
Track and assist with reporting in Excel and other systems
Serve as a liaison with internal teams, board members, and external stakeholders, including foundations
Requirements:
A minimum of 5 years of experience supporting C-level executives or senior leadership
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace
Exceptional organizational skills with the ability to prioritize and manage multiple tasks effectively
Strong written and verbal communication skills, including experience drafting detailed correspondence
Demonstrated ability to manage complex travel arrangements and scheduling with precision
High degree of discretion and attention to detail
Nice to have:
Experience preparing presentations for board or executive-level audiences is preferred
Prior experience in a non-profit or mission-driven organization is a plus
