Job Description

Our client is looking to fill the role Executive Assistant to HR Team. This role supports two VP, HR Business Partners and the Head of Talent & Growth within Disney Entertainment Television’s People & Culture team. The Executive Assistant will manage daily administrative operations for senior executives, including calendar management, travel coordination, expense reporting, project tracking, and executive communications. This individual will act as a trusted partner to leadership, helping ensure smooth day to day operations while supporting key departmental initiatives. Success in this role requires professionalism, discretion, strong relationship building skills, and a solid understanding of Disney’s organizational structure and business operations. The ideal candidate is highly organized, detail oriented, proactive, curious, and thrives in a fast paced corporate environment.

Job Responsibility

  • Manage complex executive calendars, meetings, appointments, and travel arrangements
  • Prepare and edit presentations, reports, correspondence, and other executive materials
  • Maintain electronic and physical filing systems
  • Process expense reports and electronic transactions
  • Manage office supplies, subscriptions, and departmental operational needs
  • Handle highly confidential information with discretion
  • Coordinate meetings and prepare agendas and materials
  • Track action items and meeting follow ups
  • Monitor conference room scheduling and monthly release calendar updates
  • Assist with company events, employee engagement activities, and training sessions
  • Serve as a primary contact for internal and external stakeholders
  • Draft and distribute executive and departmental communications
  • Liaise professionally with executives, talent, and assistants across Disney
  • Facilitate communication between HR and other internal departments
  • Support planning and execution of HR initiatives and special projects
  • Track timelines, deliverables, and project milestones
  • Conduct research and provide operational support for team initiatives

Requirements

  • 3+ years of administrative experience, preferably in a corporate environment
  • Bachelor's degree or equivalent experience
  • Proficiency with both Mac and Windows environments
  • Advanced Microsoft Office skills, including Word, Excel, PowerPoint, and Outlook
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • High level of professionalism and discretion
  • Ability to prioritize competing deadlines and adapt quickly
  • Experience working effectively with all levels of an organization
  • Familiarity with HR processes and systems is a plus
  • Hybrid schedule requires onsite presence 4 days per week
  • Must be comfortable working in a hoteling environment
