Job Description:

We are seeking a high-performing Executive Assistant to support a NYC-based entrepreneur managing multiple fast-growing ventures across real estate, investment management, and technology. This is a senior-level EA role for someone who is highly organized, proactive, and capable of managing complex schedules, communications, and operations across several businesses at once. You will act as the Founder’s right hand, ensuring priorities are tracked, deadlines are met, and nothing falls through the cracks.

Job Responsibility:

  • Manage the Founder’s calendar, inbox, and daily priorities
  • Run daily morning alignment calls to review tasks, deadlines, and focus areas
  • Track action items, follow-ups, and deliverables across all ventures
  • Manage multiple systems including CRMs, email platforms, Google Workspace, Microsoft Teams, DocuSign, Zoom, and Apple Mail
  • Organize inboxes, documents, and shared drives
  • Troubleshoot issues and improve workflows across tools
  • Prepare and organize fundraising materials
  • Maintain investor CRM records
  • Coordinate follow-ups and assist with investor communications
  • Provide operational and administrative support across: Luxury real estate development (NYC / Connecticut)
  • A transportation startup currently raising capital
  • A digital investment marketplace in testing
  • Personal investments and corporate partnerships
  • Communicate daily with partners, marketing teams, operations staff, customers, and investors
  • Schedule meetings and ensure follow-ups happen on time
  • Assist with accounts, document collection, tax coordination, and compliance tasks
  • Support ad-hoc projects and business operations as needed
  • Identify gaps, follow up without being asked, and flag risks early

Requirements:

  • 3–5+ years of experience as an Executive Assistant, Founder’s Assistant, or in a similar high-level support role
  • Highly organized with excellent attention to detail
  • Proactive, self-driven, and comfortable working independently
  • Strong communicator — clear, professional, and confident asking questions
  • Able to work with multiple personalities, investors, and business partners
  • Comfortable balancing strategic support with hands-on administrative work
  • Professional, polished, and able to represent the Founder externally
  • Comfortable using multiple CRMs, email platforms, and productivity tools
  • Able to adapt quickly to changing systems and processes
  • Fluent in English (written and spoken)
