The Executive Assistant provides high-level administrative and strategic support to the office of the Chief Financial Officer. This role manages complex, confidential, and time-sensitive responsibilities requiring sound judgment, professionalism, and strong organizational skills. The position serves as a key liaison across internal and external stakeholders, ensuring seamless coordination of executive priorities, communications, and operations. The ideal candidate demonstrates initiative, conscientiousness, anticipates needs and is curious.
Job Responsibility:
Manage complex executive calendars, including scheduling internal and external meetings, prioritizing conflicting demands, and ensuring alignment with business priorities
Coordinate domestic and international travel arrangements, itineraries, and logistics
Prepare, review, and process expense reports, invoices, and related administrative documentation
Maintain and organize confidential files, correspondence, and executive records
Track and follow up on action items, deadlines, and key initiatives with limited direction
Anticipate executive needs and establish or improve administrative processes to increase efficiency and effectiveness
Coordinate logistics for Audit Committee meetings, committee meetings, and related governance activities as needed
Prepare, compile and format board presentations and supporting reports
Maintain confidentiality and secure handling of sensitive board-level information
Plan and execute finance meetings, finance leadership sessions, and finance town halls
Manage CFO meeting logistics including agendas, materials, room setup, and vendor coordination
Create, proofread, and distribute executive communications and presentations for a variety of audiences
Draft, edit, and refine correspondence, reports, and messaging on behalf of the CFO
Communicate professionally and effectively with stakeholders at all levels, including executives and team
Ensure efficient and professional daily operation of the executive office
Support document retention processes and organizational systems
Provide administrative and operational support to senior finance team
Manage departmental budgets and related tracking activities
Requirements:
High School Diploma required
Associate or Bachelor’s degree in Business Administration or related field preferred
Minimum of 4 years of experience providing administrative support to senior leaders or executives
Proven ability to produce high-quality, accurate work under tight deadlines
Exceptional organizational, prioritization, and time-management skills
Strong problem-solving abilities and proactive mindset
High degree of professionalism, tact, diplomacy, and discretion
Ability to handle highly confidential information with sound judgment
Excellent interpersonal and relationship-building skills
Strong attention to detail and follow-through
Adaptability and responsiveness to changing priorities
Advanced proficiency in Microsoft Outlook, SharePoint, Word, PowerPoint, and Excel
