A prestigious Billion-Dollar Global Investment Management Firm in Midtown Manhattan is seeking a new Full-Time/Permanent Executive Assistant to support the CEO. The person in the role currently has been there a long time and is returning to non-profit. Candidate must have a minimum of 7-10+ years of applicable C-level executive administrative support experience (open to industry!) and a Bachelor's degree is required. Must also have experience with private aviation. Ideal candidates should be extremely polished and professional, smart, proactive, responsive, discreet/confidential, a self-starter, and possess a high IQ/EQ and excellent interpersonal and communication skills (both verbal and written). This is a great role for a traditional C-level EA or a star 'up and comer' with applicable experience! Salary depends on experience (150-250k all-in comp package – base plus bonus). Great benefits, nice offices, etc. Hours are 8:30am-5:30pm, with flexibility/availability to work remotely after hours. Occasional weekend work may be required. Hybrid work schedule (Monday-Thursday in office, Fridays remote – but must be flexible to come in if needed on occasion.) FYI – This is a scent-free company (no scented perfumes or lotions).
Job Responsibility:
Provide high-level executive administrative support to the CEO
Schedule and organize extensive internal and external meetings, conference/video calls, and appointments
manage and maintain a busy and ever-changing calendar
Coordinate speaking engagements at conferences and events, including working with marketing and investment team to ensure CEO has proper materials and is adequately prepared
Ensure the CEO stays on schedule, including dialing him into conference calls and reminding him of meetings
Coordinate complex domestic and international travel arrangements and detailed itineraries, including commercial flights and private aviation, hotel accommodations, car services/ground transportation, visas/passports, etc.
Prepare, process, and submit expense reports using Concur
Draft, type, and edit emails and correspondence on behalf of executive
Field and vet telephone calls
greet clients and guests as needed
order catering for meetings when required
Work closely with the CEO's Chief of Staff, personal assistant, family office and drivers
Requirements:
Minimum 7-10+ years of applicable C-level executive administrative support experience (open to industry!)
Bachelor's degree required
Experience with private aviation/travel coordination required
High IQ/EQ
Extremely polished and professional
