Looking for a seasoned Executive Secretary to support the Country CEO and Senior Leadership Team within a leading global bank. This role offers the opportunity to manage complex global itineraries and office operations in a fast-paced Hong Kong financial environment. Ideal for a proactive professional with banking or financial services experience.
Job Responsibility:
Manage complex diaries and coordinate internal/external meetings, including client functions and global video conferences
Arrange intricate global travel itineraries, including flights, hotels, visa requirements, and cars, while preparing all necessary trip materials
Act as the primary gatekeeper for the CEO, filtering telephone calls and managing external/internal requests with diplomacy
Prepare high-level documents, committee reports, presentation materials, and business reports for executive reviews
Handle expense report preparation and verify staff expenses prior to CEO approval
Oversee office management tasks, including vendor liaison (building management, couriers), procurement of supplies, and invoice management
Maintain the highest standards of data protection and confidentiality regarding sensitive customer and internal bank information
Requirements:
Minimum 3 years of secretarial or PA experience at an executive level, ideally gained within a banking or financial services environment
University graduate with a Bachelor’s degree in Banking, Business Administration, or a related field
Proven ability to manage the professional schedule of a senior manager with frequent global travel requirements
Fluent oral and written communication skills in English are mandatory
proficiency in French or Arabic is a distinct advantage
Strong technical proficiency in the Microsoft Office Suite and experience with procurement systems
Exceptional organisational skills with the ability to prioritise conflicting demands under pressure
High level of discretion and a firm understanding of HKMA/SFC regulatory environments and confidentiality standards
Nice to have:
