Job Description:

Our client, a global, privately held organization is seeking an Executive Assistant to support its Chief Administrative Officer & Head of Talent. This role is ideal for someone who enjoys working with an exceptional, collaborative leadership team and brings a positive, energetic presence to the workplace. The successful candidate is upbeat, outgoing, highly organized, and detail-oriented — someone who takes pride in being a reliable partner and thrives in a people-focused environment. This position provides high-level administrative and operational support to senior leadership while playing an active role in talent and culture-related initiatives. You’ll work closely with an engaged, supportive team that values professionalism, discretion, and a can-do attitude.

Job Responsibility:

  • Manage a dynamic executive calendar, coordinating meetings across multiple time zones
  • Schedule and prioritize appointments
  • Arrange domestic and international travel, including itineraries, logistics, and expense reporting
  • Monitor and manage executive inboxes and correspondence with professionalism and discretion
  • Prepare meeting materials, agendas, and follow-ups in advance
  • Create and edit polished presentations and documents using PowerPoint
  • Serve as a true right hand, handling confidential and sensitive information
  • Support talent acquisition efforts, including interview scheduling and candidate coordination during busy periods
  • Assist with planning leadership meetings, team offsites, and internal events
  • Support training and leadership development initiatives
  • Collaborate closely with other Executive Assistants and stakeholders across the organization

Requirements:

  • 3–5 years of experience supporting senior executives in a fast-paced professional environment
  • Prior C-suite support experience preferred
  • Exceptionally organized with strong attention to detail
  • Upbeat, outgoing, and personable with a positive, team-first mindset
  • Smart, resourceful, and proactive — you anticipate needs and solve problems before they escalate
  • Excellent written and verbal communication skills
