Job Description

Our client, a leading international financial services firm, is seeking a polished, highly organized, and proactive Executive Assistant to support its Recruiting functions . This role is ideal for a detail-oriented professional who thrives in a fast-paced environment and enjoys managing complex scheduling and calendar management and coordinating high-level meetings. The Executive Assistant will play a critical role in being a true right hand. The ideal candidate is adaptable, resourceful, and able to manage competing priorities with professionalism and discretion.

Job Responsibility

  • Coordinate and schedule a high volume of interviews across multiple time zones
  • Serve as the primary point of contact for interview logistics with candidates, interviewers, and external search firms
  • Manage dynamic calendars for recruiters, hiring managers, and senior stakeholders
  • Coordinate all stages of the interview process including screenings, panel interviews, final rounds, and debrief meetings
  • Support the Head of Recruiting with meeting coordination, travel arrangements, and administrative tasks
  • Handle sensitive employee and candidate information with confidentiality and discretion
  • Assist with onboarding logistics, internal communications, training sessions, and employee-related meetings
  • Maintain accurate recruiting and HR documentation and records
  • Prepare and reconcile expense reports related to travel and recruiting activities
  • Support special projects and cross-functional initiatives as needed

Requirements

  • Bachelor's degree required
  • 4–7 years of Executive Assistant, Recruiting Coordinator, or related administrative experience
  • Experience scheduling complex, multi-round interviews across multiple time zones
  • Strong background coordinating domestic and international travel arrangements
  • Interest in recruiting, talent acquisition, and supporting the hiring process
  • Exceptional organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to multitask, prioritize effectively, and meet tight deadlines in a fast-paced environment
  • Strong judgment and discretion when handling confidential information
  • Proactive, responsive, and collaborative team player
  • Proficiency in Microsoft Office Suite, particularly PowerPoint
  • familiarity with Workday Recruiter is a plus
