You are a proactive, highly organized Executive Assistant who thrives in fast-paced environments. Reporting directly to the VP of Design, you act as a strategic partner to help the Product Design Department operate at its best. You are a master of complex scheduling, a calm presence under pressure, and a partner who takes pride in bringing order to complexity and anticipating needs before they are voiced.
Job Responsibility:
Executive Partnership: Serve as the primary administrative partner to the VP of Design, while coordinating priorities for leaders across Industrial Design, UX, and Research
Calendar & Coordination: Manage complex calendars and schedule high-priority design critiques, executive reviews, and cross-functional syncs across multiple time zones
Research & Ops Support: Own the logistics for customer research and usability studies, including participant tracking, confirmations, and day-of execution
Documentation & Decks: Assist in organizing high-stakes presentation decks for executive reviews

Department Organization: Oversee the general organization and administrative needs of the product design organization
plan team All Hands, workshops, and celebrations
Travel & On-site Support: Travel 10–15% to support off-site research sessions, field visits, and team events
Requirements:
4–7 years of EA experience, supporting executive-level stakeholders in a fast-growing tech or corporate environment
Mastery of Google Workspace (G-Suite) and complex, multi-time-zone scheduling
Adaptive Work Style: Ability to quickly learn and navigate the unique workflows and cadences of a creative department
Operational Rigor: Strong note-taking skills, project tracking, and high-quality follow-through
Hospitality Mindset: Professionalism and confidence in customer-facing and candidate-facing interactions
Education: Bachelor’s degree preferred
Location: Must work on-site at our San Mateo, CA headquarters
Travel: Ability to travel 10–15% as needed
