They are seeking a highly organized and proactive Executive Assistant / Operations Administrator to provide direct support to senior leadership and assist with the day-to-day coordination of business operations. This role is ideal for someone who enjoys managing multiple priorities, ensuring follow-through on key initiatives, and serving as a trusted partner to leadership. Job Responsibility

  • Act as a key support partner to senior leadership, ensuring priorities, deadlines, and action items are tracked and completed
  • Manage complex calendars, meetings, and scheduling across multiple stakeholders
  • Coordinate administrative and operational activities to support day-to-day business functions
  • Prepare reports, correspondence, presentations, and other business documentation
  • Maintain organized records, files, and company documentation
  • Assist with project coordination and follow-up to ensure timely completion of tasks
  • Support communication between departments and external partners
  • Handle confidential information with professionalism and discretion
  • Monitor and manage administrative processes to ensure efficiency and accuracy
  • Support reporting, documentation, and various operational initiatives as required

Requirements

  • 3+ years of experience in an Executive Assistant, Administrative Assistant, Operations Administrator, Office Manager, or similar role
  • Strong proficiency with Microsoft Office, including Outlook, Word, and Excel
  • Experience supporting multiple stakeholders and managing competing priorities
  • Exceptional organizational skills and attention to detail
  • Strong communication and interpersonal skills
  • Ability to work independently, take initiative, and adapt to changing priorities
  • Experience with QuickBooks or basic bookkeeping is considered an asset
  • Experience coordinating projects, tasks, or operations within a construction, trades, engineering, manufacturing, or project-based environment is considered a strong asset
  • Professional, resourceful, and able to maintain confidentiality
