They are seeking a highly organized and proactive Executive Assistant / Operations Administrator to provide direct support to senior leadership and assist with the day-to-day coordination of business operations. Job Responsibility
Act as a key support partner to senior leadership, ensuring priorities, deadlines, and action items are tracked and completed
Manage complex calendars, meetings, and scheduling across multiple stakeholders
Coordinate administrative and operational activities to support day-to-day business functions
Prepare reports, correspondence, presentations, and other business documentation
Maintain organized records, files, and company documentation
Assist with project coordination and follow-up to ensure timely completion of tasks
Support communication between departments and external partners
Handle confidential information with professionalism and discretion
Monitor and manage administrative processes to ensure efficiency and accuracy
Support reporting, documentation, and various operational initiatives as required
Assist with special projects and additional assignments as needed
Requirements
3+ years of experience in an Executive Assistant, Administrative Assistant, Operations Administrator, Office Manager, or similar role
Strong proficiency with Microsoft Office, including Outlook, Word, and Excel
Experience supporting multiple stakeholders and managing competing priorities
Exceptional organizational skills and attention to detail
Strong communication and interpersonal skills
Ability to work independently, take initiative, and adapt to changing priorities
Experience with QuickBooks or basic bookkeeping is considered an asset
Experience coordinating projects, tasks, or operations within a construction, trades, engineering, manufacturing, or project-based environment is considered a strong asset
Professional, resourceful, and able to maintain confidentiality
