At Orchard Care Homes, we’re looking for an experienced and forward‑thinking Executive Assistant / Office Manager to support our CEO and Senior Leadership Team, while also ensuring the smooth day‑to‑day running of our Support Centre. This is a varied and influential role, ideal for someone who thrives in a fast‑paced environment, enjoys being at the heart of the business, and takes pride in making things run seamlessly behind the scenes. You’ll bring a proactive, solutions‑focused mindset, anticipating needs and continuously improving how we operate. You’ll balance high-level executive support with office and people-focused responsibilities, acting as a trusted partner to senior leaders and a welcoming, reliable point of contact across the organisation.
Job Responsibility:
Provide high-level administrative and organisational support to the CEO and Senior Leadership Team
Prepare, coordinate and circulate monthly Board packs and attend Board meetings
Prepare presentations, reports, agendas and meeting materials
Take minutes, track actions and follow up with stakeholders
Proactively manage complex diaries and schedules
Coordinate meetings, travel, accommodation and itineraries for senior leaders
Support SLT projects, tracking progress and deadlines
Maintain the annual leave tracker for the Group Executive team
Support complaints management, including logging, follow-up and reporting
Ensure the office is welcoming, safe, well-organised and running smoothly
Act as the first point of contact for visitors and office-related queries
Manage relationships with suppliers, cleaners and contractors
Maintain office supplies, equipment and meeting room bookings
Coordinate office moves, desk allocations and workspace improvements
Support engagement and culture initiatives, including social events
Organise company-wide events such as conferences, leadership meetings and the annual staff party
Provide recruitment administration support, including interview scheduling and candidate communication
Support internal communication relating to the office and leadership team
Requirements:
Proven experience in an EA, Office Manager or similar support role within a fast-paced environment
Exceptional organisational and planning skills with the ability to manage competing priorities
A proactive, solutions-focused mindset and a genuine “can-do” attitude
Confident communicator with strong interpersonal skills at all levels
Discreet and professional when handling confidential information
Strong Microsoft Office skills (Word, Excel, PowerPoint)
Self-motivated and comfortable working with a high degree of autonomy
