Are you an organized, proactive, and detail-oriented professional fluent in both Polish and English? We are seeking an Executive Assistant/Office Manager to join our team in Lublin, Poland. In this role, you will work closely with our Directors to provide seamless support to leadership across functions and help drive the success of our operations. While this role offers flexibility, office presence is required one day a week to ensure smooth coordination and support.

Job Responsibility:

  • Collaborate with Directors to provide high-level administrative and organizational support to leadership teams across various functions
  • Manage complex calendars and scheduling, including meeting prioritization and large-scale meeting coordination
  • Prepare meeting agendas, take minutes, and follow up on action items to ensure timely completion
  • Oversee project administration, including coordination, tracking, and administrative tasks
  • Perform essential administrative duties such as filing, data entry, and handling correspondence
  • Organize travel arrangements, including flights, accommodations, and transportation for team members
  • Plan, execute, and assist with team activities and logistics, including staff meetings, town halls, and on-site/off-site events
  • Track and help drive completion of key deliverables while following up on outstanding action items to ensure progress

Requirements:

  • Fluency in both Polish and English
  • Proven experience in an Executive Assistant, Office Manager, or similar role
  • Exceptional ability to manage multiple priorities, schedules, and tasks efficiently
  • Strong written and verbal communication skills in both Polish and English
  • A proactive mindset with the ability to anticipate needs and provide solutions
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Nice to have:

Familiarity with project management tools is a plus
