We are seeking a highly organized and proactive Executive Assistant & Office Manager to support senior leadership while overseeing day-to-day office operations. This individual will serve as a key administrative partner to executives, helping manage schedules, communications, meetings, travel coordination, and operational workflows in a fast-paced professional environment. The ideal candidate is polished, detail-oriented, resourceful, and capable of balancing executive support responsibilities with hands-on office coordination. Bilingual Spanish/English communication skills are required for this role.
Job Responsibility:
Provide high-level administrative support to senior leadership and cross-functional teams
Manage complex calendars, scheduling, and meeting coordination
Coordinate domestic and international travel arrangements, itineraries, and logistics
Prepare presentations, reports, meeting materials, and executive correspondence
Track follow-up items and ensure timely completion of action items from meetings
Maintain confidential records, files, and sensitive business information
Serve as a liaison between leadership, employees, vendors, and external stakeholders
Support expense reporting and reimbursement processes through expense management systems
Oversee daily office operations to maintain an organized and efficient workplace
Coordinate office vendors, suppliers, and service providers
Manage office supply inventory and purchasing processes
Process purchase orders and support administrative procurement activities
Assist with planning internal meetings, company events, and leadership gatherings
Identify opportunities to improve administrative and operational efficiencies
Support a collaborative and professional office environment
Requirements:
5–7+ years of experience in executive support, office management, or administrative leadership roles
Bilingual fluency in both English and Spanish required
Strong organizational, multitasking, and prioritization skills
Excellent written and verbal communication abilities
Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
Ability to maintain confidentiality and exercise discretion at all times
Strong interpersonal skills with a professional and service-oriented approach
Self-starter with strong problem-solving abilities and attention to detail
Nice to have:
Experience supporting senior leadership or C-level executives preferred
Experience with expense management and travel coordination systems preferred
Prior experience working in a fast-paced corporate, professional services, or multi-site environment
Exposure to office operations, vendor coordination, and executive-level support
Associate’s or Bachelor’s degree in Business Administration, Communications, or related field preferred
