Job Description

As Executive Assistant / Office Coordinator, you are the right hand of the Branch Director Netherlands. You ensure that everything runs smoothly — from complex schedules to well-organized team activities. Thanks to you, management can fully focus on steering the organization. In addition, you are the main point of contact in the office and play a key role in creating a pleasant, well-organized work environment.

Job Responsibility

  • Managing the Branch Director's (and VP Sales) calendar and mailbox
  • Preparing, planning, and taking minutes of management and operational meetings
  • Monitoring actions, deadlines, and decision-making
  • Assisting with presentations and correspondence
  • Coordinating internal and external appointments (such as client visits)
  • Arranging travel and practical matters regarding appointments
  • Identifying bottlenecks and contributing to process improvements
  • Ensuring a smoothly running office
  • Maintain contact with suppliers and internal stakeholders
  • Assisting with facility matters and fleet management
  • Organizing internal activities such as holidays, team activities, and social events
  • Fostering connection and engagement within the team
  • Drafting and sharing internal communication
  • Assisting with social media and employer branding
  • Identifying opportunities to increase the visibility of SKIDATA
  • Bringing structure to team and MT meetings
  • Monitoring the follow-up of actions and improvement initiatives

Requirements

  • MBO+/HBO working and thinking level (preferably in Management Support or Office Management)
  • 2–5 years of experience in a similar role
  • Strong communicator and connects easily with senior stakeholders
  • Strong in planning, organizing, and prioritizing
  • Proactive, independent, and solution-oriented
  • Communicatively skilled and organizationally sensitive
  • Hands-on and pragmatic
  • Discreet and reliable
  • Good command of MS Office
  • Good command of Dutch and English
