Robert Half Permanent Placement is partnering with a leading property management company in Williamsville, NY on their search for an Executive Assistant / Office Administrator to join their team. In this role you will directly support the President/CEO as well as managing general office administration. This is an in-office position with a starting salary of $60,000 - $70,000 and a total benefits package.
Job Responsibility:
Provide executive support to the President, including calendar management, travel coordination, correspondence, and special requests
Oversee daily office operations, ensuring an organized, efficient, and well-maintained work environment
Monitor general voicemail and manage incoming calls, providing timely responses and routing as needed
Greet visitors and coordinate front-desk activities, creating a professional and welcoming experience
Handle mail distribution, shipping, office inventory, and supply ordering
Maintain office equipment, kitchen supplies, and coordinate service/maintenance for copiers and appliances
Manage company records, contracts, and data within internal systems, including property management software updates
Support company operations with administrative tasks such as ordering branded materials, furniture, and coordinating vendors
Requirements:
3 + years directly supporting a Senior Leader is strongly preferred
Strong organizational skills with the ability to quickly learn, retain information, and maintain a tidy, efficient workspace
Team-oriented mindset with a willingness to learn and collaborate effectively
Adaptable and flexible, able to shift priorities and respond to changing leadership needs
