Job Description

Baptist Downtown is hiring an Executive Assistant for Marketing Administration!

Job Responsibility

  • Answer phone, screen calls, respond to callers, takes messages, or forward appropriately
  • Receive and interact with visitors that arrive at Executive Office suite, validate parking tickets
  • Respond to information requests
  • Schedule a high volume of meetings with internal/external executives, physicians, nursing management/staff, business professionals, etc
  • Retrieve, open and sort mail
  • Organize social/business functions for small/large groups
  • Prepare travel arrangements for business travel and educational conferences, prepare expense reports
  • Prepare correspondence, reports, communications, and presentations
  • Assist with preparation for meetings
  • prepare agendas and transcribe minutes as needed
  • Manage department files
  • maintain schedule for boardroom, order and maintain office/break room equipment and supplies
  • Handle confidential information & materials with discretion and diplomacy
  • Assist other executive assistants as needed (projects, telephone/office coverage, etc.)

Requirements

  • Experience in Word/PowerPoint/Excel/Outlook required
  • 2-3 Years Office Experience required
  • Experience with Budgeting, Event Planning, Office Management preferred
  • HS Diploma/GED
