We are seeking a highly organized and proactive Executive Assistant II to join a dynamic team of 50 within a leading financial institution. This role is a one-year contract with a strong potential for both extension and permanent conversion. This is a hybrid position based in the heart of Toronto’s financial district, offering a professional environment where your administrative expertise will directly support the senior leadership team’s success. The Executive Assistant II will provide high-level administrative support to an Executive, managing complex schedules, high-volume inboxes, and strategic meeting coordination. You will act as a central point of contact, ensuring that business planning sessions, town halls, and day-to-day operations run seamlessly. The ideal candidate is a polished professional who thrives in a fast-paced corporate setting and possesses a sharp eye for detail.
Job Responsibility:
Proactively manage and maintain complex calendars
coordinate conferences, video calls, and in-person meetings, including booking equipment and venues
Monitor executive inboxes to manage meeting proposals, delegate inquiries, and track action items
Prepare high-quality presentation materials, reports, and agendas
Attend meetings to record minutes and follow up on deliverables
Organize and support large-scale events such as town halls, business planning sessions, and employee engagement social events
Coordinate travel and hotel arrangements
process and validate monthly expense reports and maintain vacation schedules via Workday
Partner with other Executive Assistants to provide coverage and ensure organizational alignment
Requirements:
4+ years of professional experience as an Executive Assistant (EA)
Previous experience working within a Financial Institution (FI) or large corporate environment is strongly preferred
Expert-level skills in the MS Office Suite (Outlook, PowerPoint, Excel, Word)
Strong project coordination/management skills with the ability to handle competing priorities
Exceptional verbal and written communication skills with a high degree of discretion
