Job Description:

We are looking for a Front Office and Executive Assistant to support our executive team and serve as the first face of Bilt at our NYC headquarters. This person will be physically stationed at the front of our office and welcome everyone who walks through the door, from candidates and partners to guests and teammates. This is a highly visible role for someone who is dependable, detail-oriented, and genuinely positive. You believe no task is too small, you notice the details others miss, and you are comfortable juggling multiple high-priority needs simultaneously. You will help keep our executives focused, keep our office running smoothly, and help our people feel supported.

Job Responsibility:

  • Welcome and greet anyone entering the Bilt office and make sure they feel comfortable and taken care of
  • Staff the front of the office throughout the day and keep things running smoothly
  • Manage complex scheduling and calendar coordination for members of the executive team using Google Workspace
  • Coordinate meetings, room logistics, and on-site meeting needs
  • Perform ad-hoc personal assistant requests
  • Act as a trusted point of contact and use good judgment when handling sensitive or confidential information
  • Jump in wherever needed, from small day-to-day tasks to urgent, high-priority requests
  • Balance multiple competing priorities while staying organized, responsive, and calm
  • Assist the People team with office events, external coordination, and culture-related initiatives as needed
  • Communicate clearly and thoughtfully with teammates, leaders, and external partners

Requirements:

  • 2+ years of experience in an executive assistant, office assistant, or similar role
  • Strong working knowledge of Slack and Google Workspace, including Gmail, Calendar, Docs, and Sheets
  • Comfortable being stationed at the front of the office and serving as the primary greeter
  • Extremely detail-oriented with strong organizational instincts
  • A positive, no task is too small mindset
  • High emotional intelligence and good discretion
  • Strong written and verbal communication skills
  • Proven ability to juggle multiple high-priority requests without things slipping
  • Someone who takes pride in being helpful and making things run better
What we offer:
  • Competitive salary with a meaningful stake in the company via equity and our performance bonus program
  • Variety of different subsidized medical plans (with dental and vision), including a free HDHP with a company-sponsored HSA contribution from Day 1
  • Wellness Benefits including a One Medical Membership, Wellhub (Gympass) Access, family planning programs and more
  • 401k plan with a match
  • Commuter FSAs
  • UNLIMITED PTO
  • Exclusive Employee only Bilt Points
  • Team Events
