Job Description

Airswift is seeking an Executive Assistant / Event Planner to support a major client in Denver, CO on a 12-month contract. In this role you will be responsible for ensuring program operations, events and logistics run smoothly and professionally across a global footprint. You’ll work closely with a wide variety of internal teams and external partners. This role suits someone who enjoys managing detail, coordinating across stakeholders, and delivering high?quality experiences in a fast?paced environment.

Job Responsibility

  • Event Coordination & Delivery Support: Support the smooth coordination of a wide range of in-person and virtual meetings and events
  • Bring plans to life by organising logistics and practical arrangements that enable things to run well on the day
  • Support delivery through proactive communication, follow?up and an eye for detail
  • Project Planning & Coordination: Support planning and scheduling activities, helping to track actions, dependencies and next steps
  • Help keep shared calendars, plans and documentation organised, accurate and up to date
  • Team & Stakeholder Engagement: Work closely with internal teams and a range of external stakeholders to support collaboration and information flow
  • Assist with preparing materials, briefings and inputs for meetings, workshops and other interactive sessions
  • Operational & Administrative Support: Provide versatile administrative support across a range of systems, processes and day?to?day activities
  • Assist with financial and approval processes, including basic tracking, reconciliation and record?keeping
  • Support the team to work effectively within internal processes and ways of working
  • Improvement, Tools & Ways of Working: Contribute ideas and observations to help improve how the team coordinates work and delivers outcomes
  • Support the use and upkeep of shared tools, platforms and resources
