Responsible for deploying AI agents into production across the world's largest enterprises, the team has grown from 4 to over 50 people in the last twelve months and operates across every major geography. This is a high-trust, hands-on role for someone who thrives in technically complex, fast-moving environments and takes genuine ownership of the details that keep senior leaders and their teams running at their best. You will be the operational backbone for the person who leads Enterprise Deployment - managing calendars, coordinating across time zones and enterprise customer relationships, handling travel, and owning the day-to-day administrative tasks that allow the team to focus on what matters most: deploying world-class AI agents and growing a high-performing global team.
Job Responsibility:
Manage complex, fast-moving calendars for the leader of Enterprise Deployment and provide scheduling and coordination support across the broader team
Own travel logistics end-to-end: flights, accommodation, ground transport, and detailed itineraries across multiple time zones - including customer onsite visits across the US, Europe, and Asia
Handle sensitive and confidential matters with discretion, acting as a trusted partner in both professional and operational contexts
Coordinate seamlessly with internal teams and external stakeholders, including enterprise customers, C-suite partners, and government and regulated industry contacts
Build structure, processes, and systems that scale - including operational documentation, vendor coordination, and team logistics for a 50+ person distributed team
Anticipate needs before they arise: managing follow-ups, flagging conflicts, and keeping stakeholders aligned without being asked
Requirements:
Past experience in executive assistant roles, ideally supporting a senior technical or commercial leader in a fast-moving, high-growth environment
Strong organisational skills with the ability to manage competing priorities, shifting timelines, and multiple stakeholders simultaneously
Exceptional communication skills, with the confidence to interact with a wide range of stakeholders - from Fortune 500 executives and government contacts to vendors and internal teams
High emotional intelligence and discretion - trusted with sensitive commercial and interpersonal information, and able to navigate complex situations with maturity
Fluency with AI tools to help improve the quality and speed of work (e.g. Claude or ChatGPT)
