Job Description

GM China’s Design organization is seeking a Design Business Operation & Administrative Support personnel who can manage multiple responsibilities with an open mind and high flexibility. This role is approximately 50% design operations and 50% administrative work, acting as an individual contributor supporting the Design Operations Manager and broader design leadership.

Job Responsibility

  • Own day to day operations for the GM China Design studio
  • Manage design safety policies and on-site execution in the design center
  • Manage security assets and data in alignment with GM standards
  • Partner and coordinate with GM global teams to support leadership and align on standards and best practices
  • Provide calendar and schedule management for design leadership (meetings, reviews, travel time, key events)
  • Organize and support design reviews, leadership meetings, and workshops (invitations, room/VC booking)
  • Coordinate travel arrangements and expense processing for design leaders and visitors in line with GM policies
  • Maintain documentation and records (policies, operating procedures, org charts, contact lists, training records) for the design studio
  • Support hiring and onboarding logistics (onboarding/offboarded checklists, system/access requests)
  • Act as a central point of contact for internal and external inquiries related to the design studio, redirecting or escalating as appropriate
  • Help drive communications within the studio (announcements, newsletters, notice boards, event coordination)

Requirements

  • Bachelor’s degree in business, Finance, Engineering, Design/Business Management, or equivalent experience
  • 3+ years of experience in administrative or executive support (e.g., supporting leaders or teams with scheduling, meeting support, documentation, and travel/expense coordination) is strongly preferred
  • Fluency in English (written and spoken)
  • ability to work proactively and take ownership with high flexibility
  • Strong team player with effective communication and stakeholder management skills
  • Proven ability to develop creative and innovative solutions to complex problems with significant impact on future products
  • Excellent organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment
  • Strong proficiency with productivity tools (e.g., Outlook, Excel, PowerPoint, collaboration platforms)
