Job Description

To oversee the smooth operation of the bank's business activities by handling a wide range of administrative tasks. Join the Business Support & Administration team to ensure Barclays operates smoothly and efficiently. Your contributions will include a variety of essential office services such as clerical work, secretarial duties, word processing, telecommunications, and mail services, ensuring the organisation runs seamlessly.

Job Responsibility

  • Manage complex executive calendars, ensuring timely responses to meeting requests and optimised planning across time zones.
  • Plan and arrange travel itineraries including flights, accommodation and ground transportation, ensuring efficient and compliant travel.
  • Proactively anticipate needs, prioritise tasks, and ensure timely completion of deliverables in a fast‑moving environment.
  • Act as a trusted point of contact for internal and external stakeholders
  • manage expectations with clarity and professionalism.
  • Handle complex/sensitive communication with discretion, sound judgement and executive presence.
  • Build networks beyond immediate team.

  • Manage day‑to‑day administrative tasks such as expenses, record keeping/filing, distribution lists and organisation management tasks as required.

  • Management and facilitating of the cost close out of projects, ensuring any outstanding issues/cost commitments are dealt with in a timely manner.
  • Supporting identified payroll and related input processes and procedures i.e., receive and verify wage input sheets from operations, escalate queries and print and distribute pay slips.
  • Provision of administrative support with regards to the implementation of the talent development strategy, policies, and procedures.
  • Maintenance of accurate and organised records, including financial documents, reports, and other administrative files.
  • Management of office supplies, equipment, and inventory, ensuring availability and ordering as needed.

Requirements

  • Strong experience in executive support (complex calendar management, travel, expenses, stakeholder coordination).
  • Excellent written and verbal communication with professional executive presence.
  • Strong judgement, prioritisation, attention to detail and confidentiality discipline.
  • Sound understanding of governance/controls requirements in day‑to‑day delivery.
  • Bachelor’s degree.
