Power Design is seeking a highly organized, proactive Executive Assistant to support the Vice President of Learning & Development. This role is more than administrative—it’s a strategic partnership that helps drive priorities, streamline operations, and ensure our Learning & Development initiatives run seamlessly. Job Responsibility:

  • Manage and prioritize a complex executive calendar, coordinating meetings, travel, and commitments aligned with business priorities
  • Prepare agendas, presentations, and briefing materials for leadership meetings and strategic initiatives
  • Coordinate logistics for training programs, workshops, leadership sessions, and team events
  • Track project timelines, deliverables, and follow-ups across Learning & Development initiatives
  • Support budget tracking, vendor coordination, and invoice processing
  • Maintain organized systems for documentation, reporting, and knowledge management
  • Draft, edit, and format communications, presentations, and reports
  • Serve as a key liaison between the VP, L&D team, and cross-functional partners
  • Assist with collecting and preparing data for reports, dashboards, and leadership updates
  • Handle confidential information with professionalism and discretion
  • Identify opportunities to improve processes and enhance operational efficiency

Requirements:

  • 5+ years of experience supporting senior leaders in an executive or administrative capacity, preferably in HR, L&D, or a people-centric function
  • Associate’s level degree or higher required
  • Exceptional organizational and time-management skills with the ability to manage multiple priorities
  • Strong written and verbal communication skills with a polished, professional presence
  • Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word), Teams, and collaboration tools
  • Ability to anticipate needs, think ahead, and solve problems independently
  • High level of discretion and integrity when handling sensitive information
  • A collaborative mindset and passion for supporting people and teams
