Job Description

We are looking for an organized and proactive Executive Assistant who is bilingual in Spanish to support senior leadership. This long-term contract position requires someone who can manage complex schedules, coordinate domestic and international travel, and help keep executive priorities on track. The ideal candidate brings strong judgment, excellent communication skills, and the ability to handle fast-moving administrative needs with discretion. This position is on-site daily from 6 am-2:30 pm.

Job Responsibility

  • Manage executive calendars by scheduling meetings, resolving conflicts, and ensuring daily priorities are accurately reflected
  • Arrange end-to-end travel plans, including flights, lodging, ground transportation, and itinerary updates as schedules change
  • Coordinate meeting logistics for leadership appointments, including preparing agendas, confirming attendees, and organizing materials
  • Support executives with day-to-day administrative activities to help maintain efficiency and continuity across business priorities
  • Communicate with internal and external contacts in a detail-focused manner while handling time-sensitive requests and follow-up items
  • Track scheduling details and travel plans carefully to reduce disruptions and ensure smooth execution of executive commitments
  • Provide bilingual support in Spanish when needed to assist with communication and coordination responsibilities

Requirements

  • Demonstrated experience supporting executives in an administrative or executive assistant capacity
  • Strong ability to manage complex calendars and balance multiple scheduling demands
  • Proven experience booking and coordinating detailed travel arrangements
  • Confidence handling executive meetings and related logistical preparation
  • Excellent verbal and written communication skills with a high level of professionalism
  • Ability to work with discretion, stay organized, and adapt in a fast-paced environment
  • Spanish language skills are required or strongly preferred, depending on business needs
