Job Description

In this role, you will provide strategic support to the VP of PMO, Ops. and Ecosystem and 2-3 other Product leaders, operating as a partner in a fast-paced, constantly evolving environment. You will act as a trusted adviser and proactive problem-solver, ensuring the seamless execution of executive priorities, virtual and in-person meetings, and strategic projects. You will be a strong communicator who diplomatically protects and prioritizes executive time. Strong critical thinking, sound judgment, and solid instincts are essential as you anticipate needs, manage complex priorities, and make decisions on behalf of leadership.

Job Responsibility

  • Partner directly with the VP of PMO, Ops. and Ecosystem and other Product leaders as a strategic thought partner, supporting the execution of product initiatives, operational priorities, and ecosystem strategy
  • Orchestrate complex global calendars, coordinating across multiple time zones while protecting time for strategic priorities and focused work
  • Exercise independent judgment and critical thinking to prioritize competing demands and resolve issues proactively
  • Plan, coordinate, and execute cross-functional team meetings, workshops, and events, ensuring seamless logistics, agenda development, materials preparation, and follow-through on action items
  • Support budget tracking, expense reconciliation, and financial coordination for the Product organization, working collaboratively with Finance partners to ensure accuracy and compliance
  • Collaborate closely with other executive assistants and business partners across the organization to complete work efficiently and support shared goals
  • Maintain and utilize appropriately in-depth knowledge of organizational operations, policies, and procedures
  • Build and maintain strong relationships across the Product organization, serving as a trusted liaison between Product leadership and key stakeholders, fostering effective communication and keeping leadership informed of team dynamics and organizational pulse
  • Represent leadership with diplomacy and professionalism, protecting and prioritizing their time while managing stakeholder relationships and expectations
  • Support team culture initiatives and team-building activities, working closely with leadership to foster engagement, collaboration, and positive team dynamics

Requirements

  • 5+ years of experience supporting VP/SVP-level executives in complex organizational environments, ideally within technology companies
  • Exceptional written and verbal communication skills with proven ability to represent executives diplomatically and professionally
  • Demonstrated excellence in managing complex, dynamic schedules across global time zones while diplomatically protecting executive time and priorities to boost executive productivity
  • Strong relationship-building skills with ability to establish trust and credibility across all organizational levels
  • Proven experience coordinating cross-functional meetings, workshops, and events with strong project management capabilities
  • Proven track record of exercising sound judgment, critical thinking, and discretion when handling sensitive information and making independent decisions
  • Experience supporting team culture initiatives and team-building activities
  • Advanced proficiency in Microsoft Office Suite, Workday, collaboration platforms (Teams, SharePoint), and experience booking through corporate travel management systems
