Job Responsibility

  • Serve as the primary onsite administrative partner to the leadership team, with direct support for senior stakeholders
  • Oversee front desk activities by greeting visitors, directing inquiries, and maintaining a welcoming first impression for guests, clients, and vendors
  • Coordinate executive calendars, schedule appointments, and organize meetings to align with changing priorities and business demands
  • Arrange travel plans, prepare itineraries, and manage logistics for meetings, conferences, and offsite leadership events
  • Develop reports, organize business documentation, and compile financial or operational information for leadership review
  • Handle confidential records and sensitive communications with a high level of care, sound judgment, and discretion
  • Support event planning efforts for leadership gatherings and external meetings, ensuring all details are managed smoothly from preparation through execution
  • Assist with research, project coordination, and follow-up activities to help leadership move key initiatives forward
  • Provide guidance to administrative support staff as needed and help maintain efficient office procedures and communication flow

Requirements

  • At least 5 years of experience in executive administration, benefits administration, or a related administrative support role
  • Demonstrated ability to manage calendars, appointments, and shifting schedules for senior leaders in an onsite office environment
  • Strong proficiency with Microsoft Office, including Excel and other core business applications
  • Experience handling confidential information with professionalism, accuracy, and discretion
  • Excellent interpersonal and communication skills, with the ability to work effectively across leadership, staff, clients, and vendors
  • Solid organizational and project coordination skills with the ability to manage multiple priorities at once
  • Strong administrative background that includes office support, meeting coordination, and executive-level assistance
