Job Description

Robert Half is supporting an organization is seeking an Executive Administrative Specialist to support senior leadership and keep daily operations running smoothly. This role blends high-level administrative support with office coordination and light back office/IT/vendor support.

Job Responsibility

  • Manage calendars, meetings, and executive communications
  • Coordinate internal events, meetings, and logistics
  • Prepare reports, correspondence, and track expenses
  • Support office operations (supplies, mail, reception backup)
  • Serve as point of contact with external vendors, including IT support
  • Assist with basic technology troubleshooting, user access, and equipment coordination
  • Help maintain organized files, systems, and internal processes

Requirements

  • 5+ years of administrative/executive support experience
  • Strong Microsoft Office skills (Word, Excel)
  • Highly organized with strong attention to detail
  • Professional communication skills and ability to multitask
  • Comfortable working in a fast-paced, mission-driven environment
  • At least 5 years of administrative experience, with prior support for executive or senior leadership teams strongly preferred
  • Demonstrated ability to manage calendars, travel coordination, and meeting logistics with accuracy and efficiency
  • Experience working with board meetings, executive communications, or confidential business documentation
  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook
  • Comfortable assisting with basic desktop support or technology coordination in partnership with third-party vendors
  • Strong organizational, multitasking, and follow-through skills in a deadline-driven office environment
  • Excellent written and verbal communication skills, with a detail-oriented and service-oriented approach
  • Ability to handle sensitive information with discretion and maintain confidentiality at all times

Support payroll processes by validating data preparations through a structured checklist. Review quality mistakes in the mistake tracker and provide feedback to agents.
  • Communication & Information Sharing: Distribute important internal updates and client requests to agents. Post performance results, announcements, and operational updates. Ensure visibility and accessibility of key information across the team. Attend cross-functional meetings and ensure alignment on key updates.
  • Operational Support & Coordination: Handle ad hoc administrative requests, including urgent client or Operations Manager tasks. Support additional coordination activities assigned by Team Leads. Ensure timely execution of delegated operational tasks. Maintain visibility and follow-up on all escalations until resolution. Support agent distribution during ramp-up periods.
