Job Description

We are seeking a highly organized and proactive Administrative Assistant to support senior-level executives and investment banking professionals. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.

Job Responsibility

  • Provide high-level administrative support to executives, operating independently with minimal direction
  • Manage complex calendars, scheduling meetings and resolving conflicts
  • Coordinate domestic and international travel arrangements, including detailed itineraries
  • Prepare and submit expense reports accurately and in compliance with company policies
  • Manage a high volume of emails, prioritizing and responding in a timely, professional manner
  • Handle incoming calls, triage inquiries, and ensure appropriate follow-up
  • Partner with administrative team members to ensure seamless coverage and collaboration
  • Maintain confidentiality and professionalism in all interactions

Requirements

  • More than 6 years of experience providing executive-level administrative support
  • Executive-level calendar management (high-volume scheduling, conflict resolution)
  • Travel coordination (domestic + international, detailed itineraries)
  • Expense reporting (accurate, timely, policy-compliant)
  • MS Office proficiency (especially Outlook + Word)
  • High school diploma or GED equivalent
