A respected public-sector organization that focused on education, literacy, and community services, is seeking a polished, proactive, and highly organized Executive Administrative Assistant. This is a high-visibility role supporting two senior executives and serving as a trusted partner within the CEO's Office. The ideal candidate is an experienced executive assistant who thrives in a fast-paced environment, anticipates needs before they arise, expertly manages competing priorities, and exercises the highest level of professionalism, discretion, and confidentiality.
Job Responsibility
Provide executive-level administrative support to the COO and Executive Director
Manage complex calendars, scheduling, meeting coordination, and shifting priorities
Serve as a gatekeeper by prioritizing requests, communications, and executive time
Coordinate internal and external meetings, including agendas, logistics, materials, and follow-up
Prepare correspondence, presentations, reports, and other executive-level documents
Track action items, deadlines, and key initiatives to ensure timely completion
Coordinate travel arrangements, expense reporting, and meeting logistics as needed
Liaise with internal departments, City officials, community partners, educational stakeholders, and external vendors
Assist with board, leadership, and committee meeting preparation, including minutes and supporting documentation
Maintain confidential information with sound judgment and professionalism
Identify opportunities to improve administrative processes and increase executive efficiency
Provide project coordination and administrative support for strategic initiatives and special projects
Requirements
5+ years of executive administrative support experience, preferably supporting C-suite or senior leadership
Supporting executive leadership within education, municipal government, community services, libraries, or nonprofit organizations
Board governance or executive committee support
Event and meeting coordination
Project management and follow-up on strategic initiatives
Exceptional calendar management and organizational skills
Ability to manage multiple executives and competing priorities with minimal supervision
Outstanding written and verbal communication skills
High degree of professionalism, diplomacy, and discretion handling confidential information
Strong critical thinking and problem-solving abilities with a proactive, solution-oriented mindset
Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
Experience with virtual meeting platforms and document management systems preferred
