The Executive Assistant will provide administrative support to Global Risk & Compliance (GRC) VPs and play a key role in supporting the organization for American Express. The EA should be a dynamic individual who is proactive in anticipating and adapting to the needs of the VPs and their respective teams and is focused on accuracy, speed, flexibility and attention to detail. The ideal candidate must be experienced in handling a wide range of administrative-related tasks and be able to work in a fast-paced organization, managing multiple tasks and competing priorities. Critical to the success of this position are strong communication skills, a team-player attitude and the ability to develop positive working relationships with a wide range of colleagues both within and outside of American Express. This is a unique opportunity to interact with the external regulatory community and senior management offices at American Express.
Job Responsibility:
VP calendar management, including the coordination of complex meetings and events with internal senior leaders and external stakeholders
Support the VPs’ teams with external meetings and conferences, including scheduling, logistics, receiving in-person visitors to the office, and attendance tracking
Maintain email distribution lists
Support colleague engagement activities in coordination with Chiefs of Staff
Prepare, review, and process expense reports, and ensure T&E is in line with company policy and budget
Support team administration including onboarding for new hires, coordinating with real estate, setting up group wide team meetings and coordination of special projects
Process contract invoices and purchase orders in Ariba
Booking and coordinating travel arrangements for VPs
Support other admin responsibilities: ordering supplies, maintaining team org chart, and ad-hoc projects
Build relationships with key partners across the company
Requirements:
Proven experience (at least 4 years) working in a fast-paced, complex, and dynamic environment with executives
Excellent organizational, administrative, and interpersonal skills, demonstrating good judgment in dealing with senior executive offices and key stakeholders
Strong attention to detail with timely follow-up
Excellent communication (oral, written, listening) skills, a positive attitude and solution-oriented demeanor
Strong sense of integrity with ability to handle confidential and sensitive information with discretion
Ability to prioritize multiple tasks with minimal guidance and to proactively identify and resolve issues
Strong calendar management expertise and a working knowledge of common administrative systems and processes (e.g., purchasing, travel, expense management, etc)
Proficiency in Microsoft Outlook and Microsoft Office, including Word, Excel and PowerPoint
Proactive in anticipating needs of stakeholders and responsive to requests in a timely, efficient manner
Nice to have:
Previous experience in financial services and/or risk management
Natural curiosity to lean in even when objectives are ambiguous
