We are looking for a skilled and proactive Executive Administrative Assistant to support a senior leader in a faith-based environment. Based in Littleton, Colorado, this contract position requires an individual who can manage complex schedules, organize events, and handle confidential information with attention to detail and discretion. The ideal candidate will play a key role in ensuring the smooth operation of Academic Affairs while serving as a trusted liaison to internal and external stakeholders.
Job Responsibility:
Manage and coordinate the Dean's calendar, meetings, and travel arrangements to ensure efficiency and alignment with priorities
Draft and prepare detailed correspondence, agendas, and briefings while ensuring timely follow-up on action items
Facilitate logistics, materials, and documentation for the board and faculty governance activities, including taking meeting minutes when necessary
Monitor and reconcile budget activity, process expenses, and oversee purchasing in compliance with organizational policies
Plan and execute special projects and events, including managing timelines, vendor communications, and on-site coordination
Act as a primary point of contact for faculty, staff, students, trustees, and external partners, fostering strong relationships and collaboration
Welcome visitors and maintain a hospitable and responsive office environment
Lead cross-functional initiatives and support academic leadership in achieving organizational goals
Ensure the confidentiality and attention to detail of all communications and sensitive information handled within the office
Requirements:
At least 5 years of experience providing senior-level administrative support, preferably in higher education or a church-related organization
Strong proficiency in Microsoft 365 applications, including Outlook, Teams, Word, Excel, and PowerPoint, as well as virtual meeting tools
Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities effectively
Proven ability to maintain confidentiality and exercise sound judgment in handling sensitive information
Excellent written and verbal communication skills, with the capacity to prepare high-quality documents and correspondence
Bachelor's degree or equivalent combination of education and extensive administrative experience is preferred
Experience supporting boards, academic leadership, and managing cross-functional projects or events
