Job Description

A fast-paced organization in the San Diego area is seeking an experienced Executive Administrative Assistant to support senior leadership with high-level administrative, scheduling, and operational coordination. This role is ideal for someone who thrives in a highly organized, detail-driven environment and can anticipate needs before they arise. The Executive Administrative Assistant will act as a key partner to executives, ensuring smooth day-to-day operations, managing priorities, and maintaining confidentiality across sensitive business matters.

Job Responsibility

  • Manage complex executive calendars, scheduling meetings, and coordinating priorities
  • Arrange domestic and international travel, including itineraries and expense reporting
  • Prepare meeting agendas, presentations, and follow-up documentation
  • Serve as a liaison between executives and internal/external stakeholders
  • Handle confidential information with discretion and professionalism
  • Support daily administrative operations for leadership team
  • Draft correspondence, reports, and executive communications
  • Coordinate meetings, board materials, and leadership events
  • Track deadlines, action items, and project deliverables
  • Assist with special projects and strategic initiatives

Requirements

  • 4+ years of executive administrative or high-level administrative experience required
  • Experience supporting C-level executives strongly preferred
  • Advanced Microsoft Office Suite skills (Outlook, Word, Excel, PowerPoint) required
  • Experience with calendar management and scheduling tools preferred
  • Exceptional organizational and time management skills
  • Strong written and verbal communication skills
  • Ability to anticipate needs and work proactively
  • High level of professionalism and discretion
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong problem-solving and decision-making abilities
