Job Description

The Executive Admin reports to the VP Head of Global Consumer Engagement & Experience, and provides proactive, high-quality administrative support for VP Head of Insights & Analytics, and VP Head of Brand Portfolio as well. This role is responsible for managing complex schedules, coordinating meetings and travel, preparing materials and communications, handling confidential information with discretion, and ensuring seamless coordination of leadership priorities across internal and external stakeholders.

Job Responsibility

  • Manage complex calendars, appointments, and scheduling priorities for multiple members of the Holistic Health Leadership Team
  • Coordinate internal and external meetings, including agendas, logistics, materials, room setup, and follow-up actions
  • Arrange and manage detailed travel itineraries, accommodations, transportation, and expense documentation for leadership team travel
  • Prepare, edit, and organize presentations, reports, correspondence, and other leadership materials with accuracy and professionalism
  • Monitor and help prioritize incoming requests, communications, and issues to support efficient decision-making and time management across supported leaders
  • Serve as a liaison with senior leaders, team members, and external partners while maintaining professionalism and confidentiality
  • Track action items, deadlines, and follow-ups to help ensure timely execution of leadership priorities
  • Support meeting preparation through document gathering, briefing materials, note coordination, and post-meeting follow-up
  • Handle confidential information and sensitive matters with a high degree of discretion, judgment, and integrity
  • Continuously improve administrative processes, organization systems, and leadership support practices to enhance efficiency
  • Assist with other duties as business needs arise

Requirements

  • High school diploma or equivalent required
  • advanced degree strongly preferred
  • 5+ years of executive or senior administrative support experience required
  • Experience managing complex calendars, meetings, travel, and confidential information in a fast-paced environment required
  • Experience coordinating across cross-functional teams and balancing multiple priorities strongly preferred
  • Proficiency with Microsoft Office and virtual meeting tools
  • Experience with Concur Online Travel & Expenses as well as SAP a plus
