Job Description:

Our client, a leading provided in data storage solutions, is seeking a highly organized and proactive Executive Administrative Assistant II to support executive and director-level leadership within the Talent Acquisition department. This role is critical in ensuring smooth day-to-day operations by managing complex schedules, coordinating meetings and travel, and serving as a key point of contact across teams and stakeholders.

Job Responsibility:

  • Provide high-level administrative support to executive and director-level leadership
  • Manage complex calendars across multiple time zones, including prioritization and scheduling optimization
  • Coordinate meetings, including logistics, agendas, materials, and follow-ups
  • Plan and manage domestic and international travel, including expense reporting
  • Screen and manage communications (emails, calls, visitors), ensuring timely and appropriate responses
  • Prepare and edit correspondence, presentations, and other business documents
  • Support executive communications and briefing preparation
  • Track action items, deadlines, and key deliverables across multiple projects
  • Coordinate cross-functional meetings and initiatives
  • Organize events such as leadership meetings, team offsites, and recruiting events
  • Maintain strict confidentiality when handling sensitive information
  • Assist with office coordination, vendor meetings, and special projects as needed

Requirements:

  • Proven experience supporting executive or senior leadership in a fast-paced environment
  • Strong calendar management and meeting coordination skills
  • Excellent organizational, prioritization, and time management abilities
  • Strong written and verbal communication skills
  • Ability to handle confidential information with discretion
  • Experience with travel coordination and expense management
  • High attention to detail in document and presentation preparation
  • Ability to manage multiple priorities and meet deadlines
  • Strong interpersonal skills with the ability to work cross-functionally
  • High School Diploma or GED required

Nice to have:

  • Experience supporting multiple executives or large teams
  • Background in coordinating events and cross-functional projects
