Our client, a leading provided in data storage solutions, is seeking a highly organized and proactive Executive Administrative Assistant II to support executive and director-level leadership within the Talent Acquisition department. This role is critical in ensuring smooth day-to-day operations by managing complex schedules, coordinating meetings and travel, and serving as a key point of contact across teams and stakeholders.
Job Responsibility:
Provide high-level administrative support to executive and director-level leadership
Manage complex calendars across multiple time zones, including prioritization and scheduling optimization
Coordinate meetings, including logistics, agendas, materials, and follow-ups
Plan and manage domestic and international travel, including expense reporting
Screen and manage communications (emails, calls, visitors), ensuring timely and appropriate responses
Prepare and edit correspondence, presentations, and other business documents
Support executive communications and briefing preparation
Track action items, deadlines, and key deliverables across multiple projects
Coordinate cross-functional meetings and initiatives
Organize events such as leadership meetings, team offsites, and recruiting events
Maintain strict confidentiality when handling sensitive information
Assist with office coordination, vendor meetings, and special projects as needed
Requirements:
Proven experience supporting executive or senior leadership in a fast-paced environment
Strong calendar management and meeting coordination skills
Excellent organizational, prioritization, and time management abilities
Strong written and verbal communication skills
Ability to handle confidential information with discretion
Experience with travel coordination and expense management
High attention to detail in document and presentation preparation
Ability to manage multiple priorities and meet deadlines
Strong interpersonal skills with the ability to work cross-functionally
High School Diploma or GED required
Nice to have:
Experience supporting multiple executives or large teams
Background in coordinating events and cross-functional projects
