Job Responsibility

  • Provide comprehensive calendaring and scheduling support for executives and team members
  • Coordinate and manage key team initiatives, ensuring timely execution and follow-up on action items
  • Support team engagements, including planning and executing all-hands meetings and other events
  • Maintain and update organizational charts and other critical team documentation
  • Manage general office operations, including ordering supplies and maintaining efficient record management systems
  • Prepare and analyze various documents, reports, and communications, determining their significance and facilitating appropriate distribution
  • Facilitate travel arrangements and coordinate meeting logistics for team members and leadership
  • Contribute to ad hoc projects, providing administrative and organizational support as needed

Requirements

  • High school diploma or GED
  • 8-10 years of executive administrative support experience
  • Proven experience working directly with executives
  • Exceptional verbal and written communication skills
  • Strong organizational skills with a keen eye for detail and the ability to maintain confidentiality
  • Demonstrated ability to multitask, prioritize, and manage time effectively in a fast-paced environment
  • Proficiency in event planning and coordination
  • Experience with standard office software, including word processing, spreadsheet, and presentation applications
  • Ability to work independently and as part of a team, with strong interpersonal and customer service skills
  • Strong leadership and mentoring skills to provide support and constructive feedback
