Job Description

We are seeking a highly organized and proactive professional to provide essential administrative and operational support to two General Managers and their respective organizations. In this dynamic role, you will be the backbone of their operations, managing complex schedules, streamlining workflows, and anticipating needs to keep things running smoothly. Your expertise will enable senior leaders to focus on strategic priorities, directly influencing the productivity and morale of fast-paced teams within key organizational groups.

Job Responsibility

  • Manage complex calendars for two General Managers, including scheduling meetings, appointments, and travel
  • Handle expense management and reporting with precision and timeliness
  • Provide comprehensive support for new employee onboarding, ensuring a smooth transition
  • Deliver day-to-day operational support, proactively identifying and resolving issues
  • Contribute to team morale initiatives and foster a positive work environment
  • Perform general office duties such as ordering supplies and maintaining records management systems
  • Prepare invoices, reports, memos, letters, financial statements, and other documents
  • File and retrieve corporate documents, records, and reports efficiently
  • Analyze incoming communications to determine significance and manage distribution
  • Prepare agendas and make arrangements for various meetings

Requirements

  • 5-7+ years of experience providing administrative support, with a preference for supporting senior leaders (General Manager-level)
  • Proven experience managing multiple executive calendars simultaneously
  • Strong proficiency in Microsoft Word, Excel, and PowerPoint
  • Exceptional verbal and written communication skills
  • Demonstrated ability to work independently, manage time effectively, and multitask
  • Ability to keep information organized and confidential
  • High school diploma or GED required

Nice to have

  • Experience anticipating issues, managing ambiguity, and thinking on your feet
  • Basic mentoring skills to provide support and constructive performance feedback
