Job Description

The Events Specialist is responsible for planning, coordinating, and executing engaging in-person and virtual events that support our brand, drive business objectives, and create meaningful experiences for clients, prospects, and internal teams.

Job Responsibility

  • Create and refine event concepts aligned with company objectives, including theme, format, and target audience
  • Research and secure suitable event venues, negotiating contracts, and managing site logistics
  • Identify and contract with vendors like caterers, AV providers, decorators, and entertainment, managing their services and ensuring quality
  • Develop and adhere to event budgets, tracking expenses, and managing invoices
  • Collaborate on registration processes, managing attendee lists, and coordinating RSVPs
  • Oversee all travel and accommodation arrangements related to events
  • Collaborate with sales, marketing and brand teams on event collateral and promotion through various channels, including email campaigns, and event websites
  • Support post-event activities such as debriefs, feedback collection, and reporting on event success

Requirements

  • Minimum of 3 years’ experience in event coordination or a related role, preferably in B2B environments
  • Ability to interact effectively with clients, vendors, internal stakeholders, and attendees
  • Detail-oriented approach to managing multiple tasks and timelines simultaneously
  • Proven ability to plan, execute, and monitor event projects within budget and deadlines
  • Quickly identifying and resolving issues that may arise during event planning and execution
  • Understanding of financial constraints and effectively managing event budgets
