We are seeking a highly organized and detail‑oriented Events Coordinator to support on‑site event coverage within a commercial real estate environment. This contract position focuses on planning, coordinating, and executing a variety of professional events, including conferences, seminars, networking events, and corporate meetings. The Events Coordinator will work closely with internal teams, clients, and external partners to ensure seamless event execution and a positive attendee experience.
Job Responsibility:
Partner with clients and internal stakeholders to understand event objectives, requirements, and target audiences
Plan, coordinate, and execute assigned events, including logistics related to venues, catering, audiovisual needs, transportation, lodging, budgets, and timelines
Manage event logistics such as registration processes, attendee tracking, and on‑site event support
Prepare and organize event materials, including agendas, presentations, name badges, and promotional items
Track and manage event budgets, providing clear and timely expense reporting
Source, coordinate, and negotiate with vendors, suppliers, and contractors to secure services and equipment within budget guidelines
Serve as the primary point of contact with external stakeholders, including venues, vendors, speakers, and service providers
Collaborate with marketing or communications teams to develop event collateral, invitations, and promotional materials
Conduct post‑event evaluations to assess outcomes and identify improvement opportunities
Stay informed of industry trends, best practices, and emerging tools related to event planning and coordination
Provide coverage and operational support for events across two on‑site buildings
Requirements:
Minimum of 2 years of experience in event planning or event coordination, preferably in a corporate, commercial real estate, or related professional environment
Demonstrated ability to manage multiple events simultaneously while meeting tight deadlines
Strong organizational skills with high attention to detail and accuracy
Excellent written and verbal communication skills for effective interaction with clients, vendors, and internal partners
Proficiency with event management platforms such as Cvent, Eventbrite, or similar tools
Experience managing budgets and tracking expenses
Advanced proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint
Ability to work independently while also collaborating effectively within a team environment
Nice to have:
Bachelor’s degree in Event Management, Hospitality Management, Marketing, or a related field
Certified Meeting Professional (CMP) or equivalent certification
Experience supporting high‑profile or corporate client events
Familiarity with sustainable event planning practices
Working knowledge of audiovisual equipment and technical event requirements
Experience supporting virtual or hybrid events and related platforms
