Job Description

We are looking for an Events Co-ordinator to join our friendly and driven team. Surgeons Quarter is a wholly owned subsidiary of the Royal College of Surgeons of Edinburgh and has developed its property and facilities to create an integrated hotel, conferencing and events facility within the College campus. The facilities lend themselves to a variety of activities and events including conferences, professional meetings, weddings, exhibitions and social events. Surgeons Quarter manage a large food and beverage operation, which includes management of venue bars, private banqueting and a high street café.

Job Responsibility

  • Account manage clients from all market segments from initial enquiry until completion of event
  • Understand client event requirements and ensure expectations are met
  • Follow correct procedures for handling and following up live enquiries
  • Request deposits/credit applications and ensure receipt within contractual period
  • Receive hand-over of client after contract and terms sent out by Sales Team
  • Organise planning meeting with client and all suppliers
  • Proactively up-sell extras (AV, floral arrangements etc.)
  • Forward planning of room bookings and co-ordinating AV/IT, catering and room set-ups
  • Attend regular meetings with College staff assisting with Events
  • Meet and greet client and provide information pack
  • Liaise with clients on-site and receive feedback
  • Issue final invoice and post-event questionnaire 3 days after event
  • Be on-call for events out of normal working hours
  • Work closely with Hospitality and Events Manager to ensure rooms achieve 4-star standard
  • Provide support to Sales when required
  • Constantly seek ways to improve service delivery
  • Identify training and development needs and discuss with Events Manager
  • Attend sales events such as wedding fairs, familiarisation visits, networking events

Requirements

  • Hard-working individual with a friendly, positive personality and exemplary standards in attention to detail and customer service
  • Experience in a similar role is preferable
  • Must be eligible to work in the UK
