The Event Sales Coordinator will assist the Director, Special Events with the development and management of the event sales strategy at One World Observatory. This role is responsible for soliciting new business, developing and maintaining relationships with potential clients—focusing specifically on growing the special events database to increase and maximize revenue. The successful candidate will also provide support on the detailing and planning of events.
Job Responsibility:
Proactively solicit new business by, among other things, making sales calls, attending trade shows, and engaging in other client prospecting in order to increase the size of the organization’s client database
Qualify and manage leads in Tripleseat
Work closely with OWO staff, catering staff and vendors to plan and execute client events
Manage the events calendar and conduct site visits
Prepare and provide required documents and reports for the Director, Special Events including but not limited to event orders, invoices, revenue reports, prospect/tentative/turndown reports and sales recaps
Send surveys and thank you cards to clients after each event
Manage and maintain event management software, Tripleseat and ensure it is up to date and aligned with department specifications
Work with the Social Media Manager to manage and maintain event venue’s social media accounts and platforms. Work closely with the marketing department to ensure posts are consistent and aligns with brand identity and aesthetics
Update venue website and marketing platforms to ensure newest information and images are displayed
Manage event collateral, unpublished pages, marketing materials and photo to everything is up to date, current and accurate
Manage and execute Group and Private dining business along with all marriage proposals. Reach key metrics and sales goals
Serve as entry point of contact and additional support for larger scale events
Perform additional related duties, tasks and responsibilities as required
Requirements:
Two or more years of related sales experience - preferably in NYC-based special events
Bachelor’s degree or equivalent combination of education and related experience and/or training
Proficiency in Microsoft Office Suite and CRM software (Salesforce, HubSpot, or similar) required
Ability to work nights, weekends, and holidays – as required
Excellent interpersonal, verbal, and written communication skills
Able to work well within a team environment, offering assistance and support to team members whenever necessary
Strong organizational, writing and communication skills
Detail oriented, organized, and self-motivated
Excellent customer service skills, display a genuine desire to help people
Professional image and demeanor
