Job Description

As our Event Sales Coordinator, you will support the Sales team in bringing events at Hyde Melbourne Place to life. This is an exciting opportunity for someone who enjoys the fast-paced world of events and hospitality, with a role that combines event sales, planning, coordination and client management.

Job Responsibility

  • Support the conversion of corporate and social/wedding enquiries from initial enquiry through to confirmation
  • Prepare proposals, contracts, invoices, and all supporting event documentation
  • Coordinate corporate, wedding, and social events, ensuring all logistics are accurately planned
  • Support venue tours and site inspections for prospective clients
  • Liaise with venue, kitchen, and operations teams to ensure seamless event delivery
  • Maintain accurate records, pipeline updates and reporting within Ivvy

Requirements

  • Previous experience in event sales, coordination, or hospitality preferred
  • Strong organisational skills with the ability to manage multiple events at once
  • Excellent attention to detail and administrative accuracy
  • Confident communicator with strong client relationship-building skills
  • Experience using Ivvy or a similar CRM/event management system is desirable

  • Liaise with clients to understand event requirements, including food & drink, AV, décor and entertainment
  • Produce detailed event function sheets and secure client sign-off ahead of deadlines
  • Coordinate event details across internal teams to ensure smooth delivery
  • Attend planning meetings, sharing updates with all relevant departments
  • Ensure timely invoicing, processing payments and updating event quotes as required
  • Manage allergens and dietary requirements in accordance with policy
  • Oversee event handovers to operations teams, providing support on event days when needed
  • Collect and share post-event feedback with stakeholders
  • Support the conversion of incoming event enquiries by preparing proposals aligned with client needs and budgets
  • Respond to enquiries within agreed timeframes, escalating to senior team members where required
