The Role We are looking for a highly organized, enthusiastic, and dedicated professional to join our team as an Event Planning Coordinator – AV & Event Production. This is a role heavily focused on the audio‑visual and technical delivery of large‑scale summits and conferences, supporting the planning, coordination, and execution of AV, staging, lighting, signage, and videography across our global event portfolio. You will assist a senior team of AV and Event Production professionals and play a key role in ensuring the smooth technical operation of our summits, from pre‑event planning and logistics through to on‑site execution readiness. This role reports to the Technical Director of Event Production, based in Cyprus, and is an in‑person position at our Nicosia office.
Job Responsibility:
Providing day‑to‑day support to a senior team of AV and Event Production professionals based in the Cyprus office
Supporting the technical planning of conferences with a strong focus on audio, video, staging, lighting, signage, and recording requirements
Coordinating the storage, preparation, and international freight of event production kits (AV, staging, signage, lighting, and related equipment)
Assisting in the recruitment, onboarding, and coordination of freelance AV technicians
Managing schedules and availability of freelance AV technicians supporting the in‑house production team
Coordinating travel and accommodation for the Event Production and technical teams
Maintaining accurate inventory records for all global AV and event production kits
Assisting with sourcing new AV equipment and production materials as directed, including obtaining and comparing multiple supplier offers
Building and maintaining strong working relationships with third‑party AV suppliers, production vendors, and technical partners
Supporting negotiations to ensure competitive pricing, technical suitability, and timely delivery
Maintaining cost tracking, reports, and documentation for all Event Production and AV departmental expenses
Requirements:
EU passport holder / eligible to work in Cyprus
Bachelor’s degree or higher is a strong advantage
Ability to work 9:30–18:00, with flexibility required on occasion to support US‑region events
Professional‑level English, written and verbal
Strong communication and interpersonal skills
Minimum 2 years’ experience in a corporate administrative, coordination, or support role
Experience working with AV teams, event production, or liaising with third‑party technical contractors is a strong advantage
Experience sourcing products, services, or technical equipment is considered an advantage
Advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
Proven ability to collaborate effectively within a diverse, international team
Ability to remain calm, proactive, and solutions‑focused under pressure, particularly around live events
Excellent organizational, multitasking, and time‑management skills
Friendly, confident, professional, and engaging personality
Nice to have:
