Job Description:

We are seeking a part-time Event Planner to assist with the design, coordination, and execution of a new leadership-focused event for a client. This exciting initiative ties together various stakeholders, including advisory boards, alumni groups, and donors, into a unified leadership gathering. If you’re passionate about creating impactful experiences that bring communities together, we’d love to hear from you. While this is not a contract-to-hire role, there could be ongoing freelance opportunities for the right candidate!

Job Responsibility:

Develop and execute a clear event plan for a Leadership Gathering, scheduled for late September
Collaborate with advancement teams and key stakeholders to bring together advisory boards, foundation board members, alumni, and donors
Coordinate and manage an in-person event, and run of show
Ensure seamless integration of this new initiative within the other concurrent events
Oversee event logistics, manage vendor relationships, coordinate catering, reserve venues, and finalize audio/visual needs
Monitor attendee registration
ensure effective communication to confirm attendance and expectations throughout the process

Requirements:

A minimum of 3 years of experience in event coordination, project management, or a related field
Proven ability to manage multiple projects simultaneously while maintaining attention to detail
Strong organizational and time management skills
Excellent communication and interpersonal abilities to collaborate with diverse stakeholders
Flexibility to work occasional evenings or weekends as required by event schedules
Familiarity with managing event logistics, including vendor relations and budgeting
Passion for creating engaging and impactful experiences
Strong writing skills
