Job Description:

We are seeking an experienced Event Planner to join our team in Tampa, FL. The Event Planner will oversee meetings and events ranging from 10 to 500 attendees, ensuring seamless execution and exceptional client service. This Event Planner role requires strong leadership, outstanding customer service, and a passion for event planning in a fast-paced conference center environment.

Job Responsibility:

  • Oversee meetings and events within the conference center, partnering with catering, audio-visual, facilities, and security teams
  • Greet clients and guests daily, providing high-touch, professional customer service
  • Manage front desk responsibilities including answering phones, responding to emails, and welcoming conference center guests
  • Coordinate room setups and spot-check catering services and conference room arrangements throughout the day
  • Participate in daily operations calls to review upcoming event logistics
  • Develop project plans and budgets
  • prepare, manage, and reconcile event expenses
  • Lead and direct teams supporting events with multiple moving parts
  • Conduct pre- and post-conference meetings when applicable
  • Manage space reservations using EMS (Event Management System) and generate accurate reports
  • Collaborate with senior management, internal stakeholders, and clients to provide strategic input on event development
  • Handle vendor negotiations, contract administration, and risk management related to attrition and cancellations
  • Coordinate full logistics including menus, décor, audio-visual, registration, travel arrangements, speakers, and entertainment

Requirements:

  • 3–6 years of event planning or coordination experience
  • Experience planning events ranging from 10 to 500 attendees
  • Strong leadership skills and ability to manage multiple facets of an event simultaneously
  • Exceptional customer service and client engagement experience
  • Excellent written and verbal communication skills
  • Experience with front desk or reception responsibilities
  • Proficiency with Event Management Systems (EMS) or similar scheduling tools
  • Strong organizational and time management skills
  • Ability to work onsite five days per week in Tampa, FL
