Job Description:

We are offering a permanent employment opportunity for an Event Planner Intermediate in Brooklyn, New York. This role primarily involves planning and coordinating events of various sizes and complexities, from intimate gatherings of 10 to grand events of 500 attendees. As part of our team, you'll have the chance to collaborate with different levels of management and provide strategic insights on event development.

Job Responsibility:

  • Develop comprehensive project plans and budgets for each event
  • Oversee all aspects of event management, including site selection, vendor negotiation, logistics coordination, and risk control
  • Collaborate with internal partners such as Food Services, Audio Visual, Security, and Facilities
  • Provide excellent customer service, addressing client inquiries and resolving issues promptly
  • Manage the reception desk functions including answering calls, handling emails, and escorting clients
  • Support high-level executive meetings by maintaining professionalism, organization, and effective communication
  • Utilize Event Management System (EMS) for detailed reservations, incoming request review, and report presentation
  • Handle correspondence between the planning team and reservation holders, ensuring an outstanding customer experience
  • Understand and apply business guidelines for space allocation, managing space issues and escalating unresolved issues as necessary
  • Ensure clients are updated in a timely manner regarding the status of their requests and available options.

Requirements:

  • Proficiency in Customer Service, with the ability to handle queries and concerns effectively
  • Strong Management skills to oversee event operations and staff
  • Data Entry skills for maintaining and updating event details
  • Planning expertise for laying out comprehensive event plans
  • Ability to handle Answering Inbound Calls related to the event
  • Familiarity with Budget Processes to manage event finances
  • Reviewing capabilities to ensure all event elements meet the set standards
  • Proficiency in using 'About Time' software for time management
  • Logistic skills for smooth transportation and accommodation arrangements
  • Ability to perform Receptionist Duties, as and when required
  • Understanding of Security measures to ensure safety during events
  • Consulting skills to provide advice and suggestions for event improvements
  • Ability to manage Websites for event promotions and registrations
  • Skills in handling detail-oriented Correspondence
  • Familiarity with Facility management for event venue arrangements
  • Willingness to Travel for on-site event management
  • Graphic Design skills for creating event promotional materials
  • Knowledge of Printing processes for event-related materials
  • Reservation skills for booking venues and other event necessities
  • Experience in Catering management to ensure quality food services
  • Coordination skills for smooth execution of all event elements
  • Ability to liaise with Business Partners for sponsorships and collaborations
  • Project Planning skills to manage event timelines and tasks
  • Effective Communication skills for clear and concise information delivery
  • Experience in Contract Administration for handling event-related contracts.
