Under administrative direction, assists major tenants with the coordination of logistics for their events at the Ontario Convention Center. Duties include all event coordination from event booking through conclusion.
Job Responsibility:
Assists tenants in planning the logistical requirements for events
Assists tenants in determining manpower requirements (i.e., security, crowd control, private security, IATSE, box office, and police)
Provides tenants with technical and physical data on facility (i.e., electrical, sound, lighting, and plumbing)
Acts in a sales role for rental of Convention Center equipment and sells services of departmental part-time personnel
Advises tenants of most advantageous utilization of space
Advises tenants of building policies, fire regulations, and other governing districts that may impose regulations on the tenant
Acts as a Duty Manager during events
Transmits event information to all departments within the facility by means of Delphi Event Management System
Obtains unused space from contracted tenant for resale
Reviews tenant's contract for space utilization, special arrangements, etc.
Coordinates with tenant's private contractors (decorators, electrical, A/V, plumbing, bus service, etc.)
Enforces exclusivity of Catering by Food & Beverage services
Reviews and provides billing information to client for final settlement and to Accounting for invoicing
Secures required tenant insurance
Prepares diagrams for special room set-ups
Assists on special assignments as required
Requirements:
High School Diploma or GED
One to two years management level experience coordinating events in a multi-purpose facility which services conventions, exhibits, trade and consumer shows, athletic events, concerts, sales meetings, food and beverage functions, etc.
Valid California Driver's License (DMV)
Knowledge of terminology used in the convention, trade show, and entertainment business
Knowledge of audio-video equipment and its uses
Knowledge of set-ups and take-downs
Knowledge of utilities (i.e., special lighting, booth wiring, compressed air, etc.)
Knowledge of computer software, including Microsoft Word and Excel
Ability to read, write, and speak English
Ability to communicate effectively both verbally and in writing
Ability to be detail oriented
Ability to present a professional appearance and demeanor at all times during the workday
Ability to establish and maintain effective working relationships with tenants, employees, and the public
Skill to operate modern office equipment, including computer, fax, phone, and copy machine
Skill to operate a motor vehicle
Ability to lift up to 50lbs without assistance
Ability to walk long distances for more than 50% of the workday
Ability to work flexible hours, including nights, weekends and holidays, in addition to normal business hours
