Tacoma City Theaters is seeking a detail-oriented and enthusiastic Event Coordinator to join our events team. The successful candidate will be responsible for planning, organizing, and executing a variety of events, ensuring they are delivered on time, within budget, and to the highest standards.
Job Responsibility:
Assist in the planning and coordination of events, including conferences, seminars, corporate meetings, weddings, theatrical productions, and social gatherings
Collaborate with clients to understand their needs and objectives and develop event concepts and themes
Coordinate with vendors, suppliers, and event staff to ensure all logistical aspects are managed efficiently
Develop and manage event timelines, schedules, and checklists to ensure all tasks are completed on time and communicated to internal stakeholders/departments
Oversee the setup, execution, and breakdown of events, including training and scheduling part time staff, ensuring all elements are executed according to plan
Ensure compliance with safety regulations and quality standards
Maintain accurate records of event activities, budgets, and expenses
Assist in managing event budgets, tracking expenses, and ensuring cost-effectiveness
Provide on-site support during events to address any issues that arise and ensure smooth execution
Assist in post-event evaluations to identify areas for improvement and gather feedback from clients and participants
Schedule front of house staff, security and concessions
Collaborate with marketing and box office for Premium Experience program. Manage the overall execution of it from staffing to packet assembly
Be knowledgeable of the venue and history for tours. Assist in building and managing a public tour program
Other duties as assigned
Requirements:
Experience in event planning or coordination required (1-2 years required)
Experience in hospitality, communications, or related field preferred
Demonstrates strong organizational and time-management skills
Ability to solve problems quickly and effectively under pressure
Excellent communication and interpersonal skills
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software
Willingness to work flexible hours, including evenings, weekends, and holidays
Nice to have:
Familiarity with event management software and tools
Knowledge of industry-specific regulations and standards
Ability to handle multiple projects simultaneously
