We are looking for an organized and proactive Event Coordinator to join our team in Minneapolis, Minnesota, on a long-term contract basis. This role involves providing exceptional administrative and customer service support for healthcare conferences and events, ensuring smooth coordination and communication. The ideal candidate will bring expertise in client services, sales support, and marketing activities, contributing to the success of our industry-focused events.
Job Responsibility:
Coordinate and communicate conference details with clients, including generating sales materials, updating websites, and managing pre-conference and onsite communications
Support marketing initiatives and client retention efforts by assisting with promotional activities and maintaining strong client relationships
Facilitate sales processes and upselling opportunities for both existing and new clients
Manage fulfillment of pre-conference and onsite sales items such as advertising, exhibit spaces, and attendee lists
Collaborate with team members to collect, review, and organize advertisement files from industry clients for conference publications and event-related materials
Maintain and update the software database for online exhibits and event-related portals, ensuring accurate site functionality and performance
Handle client payments, generate reports, troubleshoot user interface issues, and ensure fulfillment of sold items
Track and analyze sales data and budgets related to conference expenses and revenue
Provide general administrative support, including setting up conference calls, reconciling budgets, and assisting onsite at conferences or external events
Requirements:
Proven experience in customer service, with a focus on event coordination or client communication
Proficiency in Salesforce administration, development, and marketing tools
Strong skills in data entry and database management
Familiarity with Microsoft Outlook and other productivity software
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
Excellent organizational and problem-solving skills
Strong interpersonal and communication abilities
Experience in tracking budgets and analyzing financial data
