Amentum is seeking a seasoned, professional Event Coordinator with planning and administrative experience supporting U.S. Government and/or Department of War events and engagements. The Event Coordinator will coordinate all phases of event planning and execution, including agenda development, stakeholder engagement, compliance with government processes, and post-event reporting. This position will directly report to U.S. Indo-Pacific Command (USINDOPACOM) Science and Technology Office (J85) and support the Information Operations Office (J39) at Camp H.M. Smith, Hawaii, in planning and execution of two strategic, international conferences annually.
Job Responsibility
Work closely with event Points of Contact (POCs) and all stakeholders to coordinate and track all event details, to include: meals, transportation, event set-up, lodging, media, security and access to the site, for all tasked INDOPACOM sponsored events, including the Pacific Operational Science & Technology Conference (POST) & the Information Forces Pacific Symposium (INFOPAC)
Provide planning support for other USINDOPACOM and S&T engagements and events
Coordinate with senior leadership, external organizations, and international partners to ensure alignment and successful event outcomes
Manage complex, multi-phase events with multiple stakeholders, adapting to evolving requirements and priorities
Navigate government event approval and funding processes, ensuring compliance with all relevant policies and procedures
Capture lessons learned and prepare post-event reports to support continuous improvement of future events
Communicate effectively, utilizing both written and verbal communication, to coordinate requirements with and report on status to government oversight points of contact
Work closely with other teams and organizations to plan and coordinate requirements to meet or exceed the customer’s expectations
Assist in trouble-shooting issues in planning and execution of events, as they arise, and identify and mitigate risks before they become issues
Utilize multiple computer systems and databases to fulfill requirements
Requirements
Bachelor's degree from an accredited college or university or 8 years cumulative related experience in event coordination in lieu of degree
At least 5 years of experience in supporting government-sponsored events and coordinating meetings of varying sizes
Demonstrated experience managing medium-to-large-scale, multi-stakeholder events, preferably within a government or defense context
Demonstrated ability to adapt to changing requirements, manage last-minute changes, and troubleshoot issues during event planning and execution
Proficiency in Microsoft Office collaboration tools (SharePoint, MS Teams, Outlook, Excel, PowerPoint, Word, Planner)
Demonstrated exceptional written and oral communication skills sufficient to prepare and present findings, recommendations and original ideas or concepts
Experience working with senior government / military leadership independently under general direction and within a team environment during high-tempo operations
Knowledge and use of Artificial Intelligence (AI) Tools in support of government client objectives (e.g. *GPT, GenAI, AskSage, MAVEN, python, etc.)
Must possess strong attention to detail skills in all aspects of the event planning, tracking, and reporting process
Proven ability to maintain a professional and courteous attitude, even in a high-stress, fast-paced environment
Must possess a SECRET security clearance
U.S. citizenship is required to obtain a DoW security clearance
Nice to have
Master's Degree from an accredited college or university, or Graduation from a military command and staff college
Familiarity with Department of War (DoW) event approval, funding, and administrative systems (e.g., ETMS2, OHASIS) is highly desirable
Science & Technology (S&T) experience preferred to assist in developing relevant and innovative conference content, ensuring alignment with operational and technical objectives
Extensive familiarity with Joint Services Correspondence requirements, experience or knowledge of organizations, functions and operations of the activity serviced, USINDOPACOM, higher echelon commands and the relationships with other federal activities and private industry
5 years' experience working in the USINDOPACOM AOR
5 years’ experience planning and executing large-scale DoD events overseas
Current Project Management Professional (PMP®) Certification, or similar
